Job · Appointment reminders
A reminder the patient can reply to, and a slot that refills itself.
A reminder that only informs is a notice. A reminder that can be answered turns a patient who was about to not turn up into a patient with a different appointment — and puts the released slot in front of the waiting list.

What it looks like
Thursday 14:00 becomes Saturday 10:30, and Omar Nabil takes the Thursday.
Hana Mostafa has a dermatology appointment with Dr Yara Selim. One scheduled template, one reply, and two patients end up with the appointment they wanted.
18:00 the day before — the reminder goes out
“Your appointment with Dr Yara Selim is tomorrow at 2:00pm. Reply RESCHEDULE if you need a different time.” A utility template, scheduled by the booking, not written by a model.
The patient replies RESCHEDULE
That reply opens a 24-hour window. Everything that follows is free-form conversation rather than another template.
Two real alternatives are offered
“Saturday 10:30 or Monday 09:15?” — read from the diary, so both are genuinely free when they are offered.
Saturday is chosen and written back
“Saturday please.” The record moves in place: Thursday 14:00 becomes Saturday 10:30, still confirmed, still with Dr Yara Selim. No duplicate booking is created.
Thursday 14:00 is released to the waiting list
The released slot is offered out immediately, in the order the waiting list defines. This is a rule the clinic wrote, not a judgement the agent made.
Omar Nabil takes it, and the change is logged
The Thursday fills from the waiting list, and the record carries an audit line — rescheduled by Scout, 18:42, patient-initiated — so the front desk can see who moved what.
The problem
An empty chair cannot be sold afterwards.
The cost of a missed appointment is not the appointment. It is the hour that could not be given to anyone else.
- Unrecoverable revenue
- A 14:00 slot that nobody sits in is gone at 15:00. Nothing recovers it, and the waiting list never heard it was free.
- A reminder that cannot be answered only informs
- An SMS the patient cannot reply to tells them they have a problem and gives them nowhere to take it. The next move is still a phone call they will not make.
- Rescheduling by phone costs more than the slot
- Two calls, a hold, a diary check, a callback. For a half-hour appointment, the staff time spent moving it is out of proportion to the appointment itself.
- The waiting list is not a list
- It is a note in a drawer or a WhatsApp thread somebody remembers. When a slot opens at 18:42, nobody is going down it.
How it works
The mechanism, step by step.
Three distinct pieces: a scheduled send, a conversation, and a rule. Only the middle one is the model's.
- Reminders are automations
- A confirmed appointment schedules a template at a fixed offset — 18:00 the day before, or whatever you set. The send is deterministic; the model does not decide who gets reminded or when.
- The template is approved and fixed
- Utility category, submitted to Meta, with the appointment's own variables filled in. Its wording is not generated per patient.
- The reply reopens the window
- RESCHEDULE is a customer message, which opens 24 hours of free-form conversation. The offer, the choice and the confirmation all happen in there, with no further template fees.
- Alternatives come from the diary
- The same availability tool as booking. Two or three real slots, never an invented one, and the chosen one is written back through the same tool.
- Release and refill is a rule
- When a slot is given up, who gets offered it and in what order is configuration. The agent executes the rule; it does not pick a favourite from the list.
- The record updates in place, with an audit line
- One appointment, moved — not a cancellation and a new booking. Every change records who made it, when, and whether the patient asked for it.
What it costs to send
One utility template can save a slot.
You start the reminder, so it is a template and it has a category. Everything after the patient replies is inside the 24-hour window. The whole reschedule therefore costs one utility message.
- The reminder (Egypt)
- $0.0036
- Utility template — a transaction the patient already agreed to. This is the only message in the exchange you pay a template rate for.
- Everything after the patient replies
- Service message
- A message from the customer opens a 24-hour window. Meta began charging for service messages on 1 October 2026, with the first 1,000 per business phone number per month free.
- The same reminder miscategorised as marketing (Egypt)
- $0.0644
- About eighteen times the utility rate, for a message that is not promotional. Category routing is the whole lever — and a promotional offer genuinely belongs here.

Meta bills these fees, not us, and we never mark them up. BlendDesk charges for seats and AI resolutions.
Control
What a person still decides.
A reminder is a message about an appointment. It is not a place to answer questions about the condition that caused it.
- Anything clinical
- If the reply to a reminder asks about symptoms or medication, the guardrail fires and the thread goes to the clinician's assistant. Rescheduling never becomes consulting.
- Cancellations beyond policy
- Late cancellations, fees, patients who have missed repeatedly. Scout applies the written policy and escalates anything outside it.
- Who the released slot goes to
- The waiting-list order is yours. So is whether a released slot is offered out automatically at all, or held for the front desk.
- Opting out
- A patient can stop reminders in one reply, and the stop is honoured on the channel. Meta's policy requires it and the platform enforces it.

What you need
A confirmed appointment to remind about, and the two rules that decide what happens to a slot when it is given up.
- An approved utility template for the reminder, with the appointment variables it needs.
- When reminders send — the offset before the appointment, and the hours you are willing to send in.
- The availability endpoint over HTTPS, so alternatives are read from the diary and the move is written back.
- Your cancellation policy in writing: what Scout may do, and from which point a person decides.
- A waiting list and its order, if you want released slots offered out automatically.
- A rule for who gets the thread when the reply is not about the time.
Questions clinics actually ask.
Why a template at all? The patient already booked.
Because you are starting the conversation. Outside the 24-hour window WhatsApp only accepts approved templates, and an appointment reminder is a utility one — the cheapest category there is.
Does the reschedule cost extra messages?
No. The patient's reply opens a 24-hour window, so the alternatives, the choice and the confirmation are all service messages inside it.
What if the patient replies with something else entirely?
The reply is handled as a normal conversation. If it is clinical, the guardrail fires and the thread is handed to a person; if it is a question your knowledge covers, it is answered.
Does the released slot really get offered to someone?
Only if you configure a waiting list and allow automatic offers. Otherwise the slot is released and the front desk is notified — the behaviour is yours to choose.
Can we remind on something other than WhatsApp?
Yes, the automation is channel-agnostic. WhatsApp is the one with the template rules and the per-message rate, which is why the cost section is written about it.
Will it move an appointment without telling us?
Every change is written in place with an audit line — who changed it, when, and whether the patient asked. Nothing happens off the record.
Send one reminder that can be answered.
Book a demo and we will schedule a reminder against a test appointment, reply RESCHEDULE to it, and watch the slot come back out.
